We are seeking a professional and motivated Executive Secretary to provide personalized secretarial and administrative support to the Chief Technology Officer (CTO) and across the Technology Divisions. In this pivotal role, you will play a crucial part in ensuring the smooth operation of daily activities, managing schedules, coordinating meetings, and handling confidential information with discretion. The role reports to the Chief Technology Officer (CTO).
Key Accountabilities
1. Executive & Administrative Support
- Act as the point of contact between the CTO and internal/external clients
- Prepare, coordinate, and provide the necessary materials for the CTO's participation in meetings and events
- Evaluate, prioritize, and promote a wide range of complex and confidential requests/suggestions submitted to the CTO for review and approval
- Screen and direct phone calls and distribute correspondence/communication accordingly
- Handle requests and queries appropriately
- Manage the daily/weekly/monthly agenda and organize meetings, appointments, and events
- Make travel arrangements for the Technology Divisions
- Take dictation and minutes in meetings with Board members
- Produce reports, presentations, and briefs
2. Office & Operational Management
- Devise and maintain an office filing system
- Be aware of and implement office administration duties in collaboration with other units and staff members within the company
- Manage all procurement-related activities for the Technology Divisions
Knowledge and experience
- At least 5 years of experience in a similar role, preferably in fast-paced companies
- Degree or Diploma of Higher Education
Skills & Competences
- Strong interpersonal communication skills and customer orientation
- Excellent written and verbal communication skills in English & Greek
- Excellent time management and problem-solving skills
- Committed to following procedures
- Ability to work effectively in a fast-paced environment with dynamic conditions/priorities and multiple roles
- Ability to manage crisis and maintain patience and a professional posture
- Strong collaborator with exceptional planning and organizational skills
- Flexibility and adaptability
- Ability to demonstrate discretion and confidentiality at all times
- MS Office proficiency (Word, Excel, PowerPoint, Visio)
- Good working knowledge of SAP
- Up-to-date with the latest office applications and collaboration tools (MS Teams, Webex, etc.)
- Fulfilled military obligations (for men)
